Application Process

Review Requirements

Read all vendor rules, regulations, and booth specifications before applying. Make sure your business type fits one of our vendor categories.

Applications Are Open

Food Vendor and Arts & Crafts applications are open now. Submit yours below — applications are reviewed on a rolling basis and spots fill fast.

Submit Your Application

Complete the online vendor application with your business details, booth type, and any special requirements. Applications are reviewed on a rolling basis.

Receive Confirmation

Approved vendors receive a confirmation email with booth assignment, payment instructions, and the vendor packet with all setup details.

IMPORTANT

Rules & Regulations

Please read all vendor rules carefully before submitting your application. By applying, you agree to the requirements below and to signing a Hold Harmless Agreement.

Application & Payment

  • All vendor information is sent by email — please watch your inbox after applying.
  • Allow at least 10 days to process your application from the date it is received.
  • Payments are handled electronically by credit card or ACH bank draft. Your card is not charged until you are accepted; once approved, the full balance is billed.
  • The full show fee must accompany your application — no space is held without payment.
  • Approvals are sent by email within 10 days. Waitlisted vendors may be notified as late as 2–3 days before the festival and may decline without penalty.

Booth Hours & Occupancy

  • Your space must be occupied 30 minutes before each day's opening time.
  • Vendors must remain in their booths until each day's closing time — no booth may close early for any reason.
  • All work, displays, and storage must be contained within your booth space.
  • No subletting or sharing of booth space.
  • No in-and-out: vendor vehicles may not enter or exit the festival site after setup is complete.

Tents & Setup

  • All vendors must provide a tent within their vending space, made of flame-retardant materials.
  • Staking into the pavement is not permitted.
  • Vendors are responsible for securing and weatherproofing their own tents against wind and rain.
  • Nashville Oktoberfest is not responsible for lost, damaged, or stolen property.
  • Dollies are recommended for setup and breakdown.

Electrical Service

  • Arts & Crafts booths include a 5-amp connection (one plug for a fan and lights) at no charge. Food Tent and Food Truck booths do not include electrical.
  • Additional service is available to any vendor at tiered pricing — from $50 (1–3 coolers/heaters) up to $750 (two 50-amp circuits) — selectable on the application. Food vendors and food trucks are typically the ones adding power.
  • Special connectors must be requested by September 1 with advance payment.

Water

  • Water is available to vendors on-site.
  • Vendors may not hook directly into the water supply.

Cleanliness

  • Keep your exhibit space clean before, during, and after the festival, including at breakdown.
  • Commercial dumpsters are provided; break down all boxes and packaging. Customer barrels are not for vendor use.

Conduct & Restrictions

  • No solicitation of products, supplies, or shows during the event — vendors are present to represent their own work. Failure to comply may result in expulsion from the festival.
  • Alcohol sales are strictly prohibited for all food vendors.

Weather & Refunds

  • The festival is held outdoors, rain or shine.
  • No credits or refunds are issued for cancellations or for weather / acts of nature.
  • The festival will not be canceled unless state, city, or local officials determine it is in the best interest of everyone's safety.

Taxes & Agreements

  • Each vendor is responsible for collecting Tennessee state sales tax and filing a report with the Tennessee Department of Revenue.
  • A signed Hold Harmless Agreement and agreement to these Rules & Regulations are required before your application is submitted.
  • Management reserves the right to make final interpretations of all rules and regulations.
